To be the first point of contact for visitors and incoming telephone callers, and to provide typing and general clerical support. To provide this service in a helpful, efficient and courteous manner. To be smart in presentation at all times To deal with all visitors promptly and courteously, handling all enquiries in an efficient and pleasant manner; To check answer machine first thing each morning, and pass on messages as appropriate. To change the message on the answer machine as necessary; In the absence of staff, or in the event of them being busy, to take accurate messages and pass on by e-mail; To assist other staff as necessary with making outside calls; To maintain speed dial numbers; To collect the mail from the ground floor reception; To sort all incoming mail and place in appropriate trays for collection by other departments; To use a switchboard, answering and directing all incoming calls courteously, efficiently and with the minimum of delay; To monitor bookings for the meeting room in the diary; To enter all general maintenance/cleaning issues into the record book for attention by the Head Office Maintenance Operative each day; To report all building problems (i.e. water leakage, air conditioning/electrical) to the Building Manager located on the ground floor; To carry out all reasonable duties which are within the capabilities of the job holder and as may from time to time be directed by the Senior Secretary
